Not everyone should necessarily have access to everyone else's emails. In the Admin Center, you can manage rights to control who is able to search emails, such as those that have been auto-archived or restricted to emails archived through Outlook.

Create the roles that suit your organisation, such as the ones you already use in Business Central. A role defines what a user has the rights to see and do in the email archive.

Connect the roles to your organisational structure so that access is tied to the role rather than the individual. New employees automatically inherit the rights associated with their role.

Should a dispute or compliance requirement arise, you can set up a temporary team with access to a specific set of emails. Access is automatically revoked when the period expires.

Targeted email investigation

In the Admin Center, forensic search allows you to create a team that, for a defined period, gains access to review a specific collection of emails. This shifts the responsibility away from the IT department to the people with the relevant expertise who know what they are looking for.
